The Role

The Tax Administrator is a key support role within the tax department, responsible for coordinating the logistics that keep complex, high-volume tax operations running smoothly. From organizing client documentation to managing e-filings and tracking deadlines, this role ensures tax professionals can focus on preparation and strategy. You’ll collaborate closely with bookkeepers, tax preparers, and managers across the firm and will be instrumental in maintaining consistency and efficiency throughout the tax season and beyond.

Responsibilities

  • Gather, organize, and maintain tax-related documentation from clients and internal teams
  • Assist in preparing and managing e-filing processes across multiple states and entities
  • Monitor deadlines and ensure timely submissions of returns, extensions, and payments
  • Coordinate with bookkeepers and preparers to support ongoing tax prep workflows
  • Maintain accurate digital records and filing systems using the firm’s tech stack (AgilLink, etc.)
  • Support the resolution of tax notices and assist with correspondence as needed
  • Provide administrative and logistical support to tax managers and partners

Ideal Candidate Profile

  • 2–4 years of professional experience in tax administration or accounting administration at a CPA or Business Management Firm
  • Familiarity with individual and entity tax filings, particularly for high-net-worth clients
  • Strong organizational skills and attention to detail
  • Comfortable managing time-sensitive workflows across departments
  • Tech-savvy and adaptable; experience with AgilLink or similar systems is a plus
  • Thrives in a behind-the-scenes support role with a strong sense of accountability
  • Prior experience in entertainment business management is a bonus, but not required

What You’ll Do:

As a Tax Manager, you will serve a wide range of clients and lead initiatives that support strategic goals.

  • Leading the review of complex tax filings for individuals, corporations, partnerships, trusts, and estates.
  • Conducting detailed tax research and offering practical guidance on unique or challenging tax issues.
  • Assisting clients with tax-related planning, financial strategy, and broader business decision-making.
  • Responding to federal and state tax correspondence, including IRS notices.
  • Managing multiple client relationships, project budgets, and delivery timelines.
  • Participating in business development activities such as client meetings, proposal development, and strategic planning sessions.
  • Proposing forward-thinking ideas to improve service offerings and expand client relationships.
  • Presenting at industry events and client-facing workshops.
  • Facilitating internal knowledge-sharing through training sessions and thought leadership content (minimum two articles/blogs per year).
  • Recording time and expenses promptly to ensure accurate and timely billing.
  • Playing an active role in recruiting efforts, helping to attract and assess top talent.

Leadership Responsibilities:

  • Oversee and mentor a team of tax professionals, providing guidance, support, and structured development opportunities.
  • Ensure all engagements are completed on time, within scope, and to quality standards.
  • Conduct staff performance reviews and support individual growth.
  • Manage project planning and workflow execution across client assignments.

What Makes You a Great Fit:

  • Bachelor’s degree in Accounting, Finance, or related field; a Master’s in Taxation is a plus.
  • An active CPA license is required.
  • 5–7+ years of tax experience in public accounting, with a proven track record of increasingly complex work.
  • Strong command of tax software and tools such as CCH Axcess, SurePrep, BNA Tax Planner, and QBO.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Familiarity with Practice CS and Power BI is a bonus.
